Invoicing Associate
Join our growing team as an Invoicing Associate, where accuracy, attention to detail, and operational excellence are at the heart of everything we do. In this role, you will be responsible for ensuring the timely and accurate preparation, submission, and management of customer invoices while supporting efficient cash flow and maintaining the highest invoicing standards across the business.
What You'll Be Doing
- Invoice Preparation & Issuance: Prepare and issue accurate invoices to customers in line with contractual and business requirements.
- Timely Invoice Delivery: Ensure all invoices are submitted within agreed customer and internal timelines.
- Customer Portal Management: Enter and upload invoices into customer invoicing portals and web-based systems.
- Electronic Invoice Submission: Submit invoices through Electronic Data Interchange (EDI) and other approved customer channels.
- Customer-Specific Compliance: Understand and follow customer-specific invoicing requirements and processes.
- Invoice Validation: Review and verify all invoice fields for accuracy prior to submission.
- Supporting Documentation Management: Ensure all required supporting documents, timesheets, approvals, and backup information are attached to invoices.
- System Updates: Maintain accurate and timely updates of invoice submission statuses within Navision.
- Record Maintenance: Manage invoice submission logs and maintain customer invoicing process documentation for audit and reference purposes.
- Cross-Functional Collaboration: Work closely with payroll and invoicing teams to accelerate invoice processing and improve turnaround times.
- Statement Distribution: Prepare and send statements of account to customers as required.
- Reconciliation Activities: Reconcile self-billing cases against customer-approved timesheets and resolve any discrepancies relating to billing or payments.
- Accounts Receivable Support: Support accounts receivable hygiene by identifying and addressing mismatches in invoicing and payment records.
- Invoice Rejection Management: Handle invoice rejections, credit notes, and rebill activities efficiently and accurately.
- Process Documentation: Maintain and regularly update standard operating procedures and invoicing guides for assigned customer accounts.
- Continuous Improvement: Support ongoing enhancements to invoicing platforms, processes, and operational efficiencies.
- Credit Control Support: Assist the Credit Control team with invoicing queries and payment collection activities.

What We're Looking For
- Relevant Experience: Minimum two years of experience in invoicing, billing, accounts receivable, or a related finance function.
- Communication Skills: Excellent written and verbal communication skills with the ability to engage professionally with internal and external stakeholders.
- Advanced Excel Skills: Hands-on experience using Microsoft Excel, including formulas, VLOOKUP functions, Pivot Tables, and data analysis tools.
- Analytical Ability: Strong analytical and problem-solving skills with a process-oriented mindset.
- Accounting Knowledge: Good understanding of accounting principles and financial processes.
- Attention to Detail: Excellent accuracy and attention to detail when managing invoicing and financial data.
- Organizational Skills: Strong ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
