OHS (Occupational Health & Safety) Administrator

Are you a highly organised administrator with a keen eye for detail and a passion for supporting workplace health and safety? We are looking for an OHS Administrator to join our HSE & Risk team, providing essential administrative and systems support to ensure the effective delivery of occupational health and safety initiatives across the business.
What You'll Be Doing πΌπ»
- Provide comprehensive administrative support to the OHS team, ensuring smooth day-to-day operations.
- Coordinate and distribute monthly safety communications ("Safety Moments") to employees and contractors.
- Maintain accurate records and perform data entry within OHS systems, including injury management platforms.
- Gather and organise supporting documentation for medical reviews and health assessments.
- Prepare and issue Duty of Care correspondence using approved templates.
- Coordinate training activities, including scheduling, attendance tracking, and training documentation.
- Monitor safety training completion and issue reminders where required.
- Manage employee, contractor, and worker records within contractor induction systems.
- Generate reports from OHS systems and databases for internal and external stakeholders.
- Support the review, formatting, version control, and publication of OHS policies and procedures.
- Assist in preparing documentation for internal and external audits, accreditations, and compliance reviews.
- Coordinate OHS Committee meetings, including agenda preparation, minute-taking, and action tracking.
- Support OHS communications through newsletters, bulletins, alerts, and other awareness initiatives.
- Maintain OHS filing systems, shared drives, and document management libraries.
- Assist with incident reporting processes by reviewing submissions for accuracy and escalating urgent matters.
What We're Looking For ππ
To be successful in this role, you will have:
- 1-3 years of experience in an administrative support role, preferably within OHS, HR, compliance, or operational environments.
- Strong organisational and time management skills, with the ability to manage multiple priorities.
- Excellent attention to detail and accuracy in data entry, reporting, and record management.
- Proficiency in Microsoft Office applications, with the ability to quickly learn new systems and platforms.
- Strong written and verbal communication skills.
- Experience preparing reports, maintaining registers, and working within structured processes.
- The ability to work independently while also collaborating effectively within a team environment.
- An understanding of occupational health and safety practices, safety terminology, and compliance requirements would be advantageous.
