Position: Team Lead – Assignment Support
Location: Mumbai
Join Halian (NES Fircroft) as a Team Lead – Assignment Support and take ownership of delivering best-in-class end-to-end contractor lifecycle support. In this leadership role, you will drive operational excellence by overseeing assignment processes, ensuring compliance, guiding your team, and enhancing the overall contractor experience.
You will act as a subject matter expert and key escalation point across onboarding, contractor management, reporting, and stakeholder communication, while continuously improving service delivery and internal processes.
Key Responsibilities
Contractor Lifecycle Management
- Oversee the complete pre-mobilization and onboarding process, ensuring all documentation, approvals, and timelines are met.
- Provide administrative support for global mobility and relocations, where applicable.
- Monitor contractor lifecycle activities via Bullhorn, ATS platforms (IQN, Fieldglass), and internal trackers to ensure compliance.
- Coordinate with third-party vendors for medical checks, documentation, and mobilization requirements.
- Build strong relationships with contractors by delivering high-quality service and clear communication throughout their lifecycle.
- Stay up to date with compliance, legislative, and process changes.
- Understand client-specific requirements and local regulations for contractor placements.
- Act as the primary escalation point in the absence of the Assignment Support Manager.
- Manage shared mailbox queries effectively, ensuring timely and prioritized responses.
- Support consultants by proactively gathering project details and identifying potential opportunities.
- Oversee the offboarding process, close placements in Bullhorn, and maintain accurate forecasting.
- Identify and implement process improvements to enhance efficiency and accuracy.
Reporting & Compliance
- Deliver accurate weekly contractor status reports (DMCC).
- Track and follow up on overdue placements, compliance gaps, and expiring assignments.
- Prepare ad hoc reports, including rate analysis and client-specific data requests.
Stakeholder Communication & Escalation
- Collaborate closely with Commercial, Payroll, Travel, and internal teams to ensure seamless service delivery.
- Maintain a positive contractor experience through effective and timely communication.
- Coordinate with regional Assignment Support teams when required.
- Escalate risks or delays to leadership proactively.
- Report system issues (e.g., Bullhorn) to relevant stakeholders for resolution.
Visa & Logistics (if applicable)
- Manage visa processes and coordination for relevant regions.
- Liaise with visa authorities and partners to support applications.
- Research mobilization and visa requirements for new regions.
Team Leadership
- Lead, coach, and mentor team members to ensure high performance and accuracy.
- Act as a key escalation point in the manager’s absence.
- Support work allocation, workload management, and SLA adherence.
- Drive team engagement and performance, especially during periods of change.
Key Performance Indicators (KPIs)
- Achieve 100% compliance in monthly commercial audits.
- Maintain and exceed SLA performance targets across processes and mailbox management.
