As a Trainee Payroll Specialist, you’ll play a vital role in ensuring the seamless and accurate processing of timesheets and payroll data. You’ll be a crucial link in supporting the payroll team by maintaining accuracy, meeting deadlines, and adhering to service-level agreements. What you'll be doing:
- Timesheet Checking: Perform end-to-end review of timesheets (Weekly, Fortnightly, and/or Monthly) with accuracy and timeliness.
- Mailbox Management: Efficiently manage shared payroll inboxes, responding to emails within agreed deadlines.
- Data Accuracy: Ensure all timesheets are checked thoroughly to eliminate any data discrepancies or errors.
- Error-Free Processing: Maintain a high level of accuracy while processing timesheets and updating Excel files.
- Special Instructions: Identify and communicate any special payroll instructions to the payroll team.
- Invoice Support: Support the payroll team by arranging and managing invoice backups for timely delivery to clients.
- Record Maintenance: Update and organize payroll records systematically while ensuring all data is current and accurate.
- Confidentiality: Safeguard sensitive employee and payroll information to maintain confidentiality.
- Team Contribution: Actively participate in team efforts, collaborating to achieve shared goals and deadlines.
- Policy Adherence: Follow organizational policies and procedures and report any necessary changes to improve processes.
- Report Assistance: Assist the Payroll Supervisor with generating reports and resolving payroll-related queries.
What We’re Looking For:
- Experience: 0-2 years of payroll processing experience; freshers with the right mindset are welcome.
- Analytical Skills: Strong analytical and problem-solving skills to identify and resolve payroll issues.
- Attention to Detail: Exceptional focus on detail and accuracy in all tasks.
- Communication Skills: Strong written and verbal communication skills for effective coordination.
- Tech Savvy: Proficiency in Microsoft Excel and familiarity with payroll software is advantageous.
- Team Player: A collaborative attitude and willingness to work as part of a dynamic team.
- Confidentiality: Ability to handle sensitive information with discretion and professionalism.
