Join NES Fircroft as an Assignment Support Administrator and be a key part of ensuring seamless administrative operations for our Assignment Support team!

As an Assignment Support Administrator, you will play a vital role in supporting the Assignment Support team in the USA. Acting as a liaison between the sales, Navision/payroll, and invoicing teams, you will ensure smooth processing of payroll and invoicing by managing placements, amendments, and other essential administrative tasks. Your attention to detail and organizational skills will directly impact the accuracy and efficiency of our operations.

What You’ll Be Doing

  • Draft and Process Documents: Create contract offer letters and amendments, prioritizing payroll-critical requests, and ensure a 24-hour response time for regular placements.
  • Placement and Change Management: Approve new placements, process change requests in Bullhorn, and manage shared mailboxes to ensure timely resolutions within 24-hour turnaround times.
  • Issue Resolution: Follow up on unresolved issues within 48 hours and escalate critical cases to senior team members, ensuring contractors are paid accurately.
  • Coordination: Organize mass transitions by setting up meetings with payroll, invoicing, and sales teams, providing detailed plans and tracking requests to completion.
  • Continuous Improvement: Review processes monthly to identify errors, implement lessons learned, and recommend efficiency improvements.
  • Reporting and Follow-ups: Regularly review reports and support follow-ups on pending approvals or requests.

  • Detail-Oriented: Exceptional attention to detail in managing contracts and placements.
  • Organized: Strong organizational skills with the ability to prioritize and meet deadlines.
  • Experience: Familiarity with legal documents (e.g., contracts) is an advantage.
  • Communication: Excellent written and verbal communication skills, with a confident telephone manner.
  • Tech-Savvy: Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Adaptable: Ability to learn new processes quickly and follow them consistently.
  • Independent Yet Collaborative: Capable of working independently while knowing when to seek support from team members.
